Running Hiring Syncs

Stakeholder Management.

Hiring for a new or evergreen role will require partnership that involves clear communication on strategy and progress, well defined expectations for everyone involved, and feedback mechanisms in place. Our recruiting team runs weekly hiring syncs with hiring managers from each org to ensure progress is being made, and that there is space to work through decisions and set action items. We leverage pipeline data that is pulled in from our Greenhouse
to inform the above, and provide our hiring managers with live views on progress without weighing them down with unnecessary details or having to create reports that require a lot of manual work for our recruiters. This allows the team more time to focus on strategy, making timely decisions, and conversations around the market or closing candidates in process.

Have a clear and easy to follow agenda.

At Coda, we believe recruiting should run hiring syncs. After all, the topic is recruiting and we’re the SMEs in this space. Our hiring managers’ time is valuable. They have lots going on and hiring is just one of the many things on their plate. Always prepare an agenda in advance, and for regular syncs you may want to consider having a standing agenda each week to maintain consistency.

Time boxing agenda items is essential to ensure that you stay on track and on time. It’s natural for some topics to deviate into longer discussions so be sure to incorporate some flexibility into the agenda to allow for those productive conversations.

Have a hiring strategy, and revisit.

Being able to pull live pipeline data into one Coda doc, and showcase that information effectively (tables and charts) as a centralized source of truth will enable the team to assess the hiring strategy more consistently. The team uses this data to keep a pulse on the status of a role and pacing for timelines. Set a hiring strategy with goals, and continue to revisit using data to motivate hiring managers and drive overall results.

Follow up action items are just as important.

Meetings can be incredibly productive as they’re an opportunity to get everyone involved together in one room for discussion. However, not having a clear follow up plan can throw a wrench in accomplishing your goals. Make sure whoever is leading the meeting ends with a clear summary of follow up action items as well as their associated owners and timelines for completion. This will ensure that things remain moving during the period before you meet again.
